The Public Enterprises evaluation and Privatization Agency (PEEPA) is an agency established to implement approved privatization transactions, advice government on privatization, commercialization and restructuring of public enterprises as well as to assist government in monitoring the performance of public entities. The mandate of the agency therefore contributes immensely to the public enterprises reform and privatization programme.

Personal Assistant to the Chief Executive Officer

Purpose of the job
The incumbent will manage the CEO’s office and provide a full range of secretarial and office management/ administrative services to the chief executive officer as well as deputy chief executive officer.

Roles and responsibilities
• Typing documents such as internal memos, correspondences, reports, shorthand notes etc.
• Taking dictations and submitting typed work to CEO for his signature, filtering telephone calls and taking messages, processing mail prioritize and file documentation (maintenance & retrieval of correspondence)
• Maintaining CEO and DCEO’s diaries, scheduling appointments, arranging lunches and other social events on their behalf, making logistical arrangements for meetings, arrangements for them as necessary;
• The position also requires the incumbent to assist the general corporate counsel with administrative arrangements for board meetings as required as well as the compilation and distribution of board papers.


Position requirements
The position requires a dynamic, energetic and competent person who can exercise judgment, pay attention to detail, keep affairs of PEEPA confidential, has impeccable integrity as well as enhance efficiency and project a positive image of the office.


Qualifications knowledge and experience
• The right candidate must have at least a higher diploma in secretarial studies from a recognized institution with thorough knowledge and hands on practical proficiency in the full range of Microsoft office automation products, including word, excel, PowerPoint and outlook
• Must be familiar with communication equipment, programmes and procedures, have record keeping and filing skills, fast typing skills, telephone etiquette, customer care skills, organizing and office management skills.
• Preferably 5 years of relevant experience, 4 of which should have been spent working as a senior management secretary or corporate PA.
